Primary Function/Department:  Administration

 

POSITION SUMMARY:

This position supports the work of the Y, a leading nonprofit committed to strengthening community through youth development, healthy living and social responsibility. Under the supervision of the Chief Financial Officer, this position supports the work of the Y through excellence, leadership, and execution of account processing, including accounts payable and employee payroll, reconciling financials, and supporting the mission of financial growth and compliance through the yearly audit.

ESSENTIAL FUNCTIONS:

  1. Organizes resources and deliverables to best meet intended goals and outcomes.
  2. Processes payments to vendors and contractors.
  3. Audits check requests and purchase orders for completeness and makes corrections as necessary.
  4. Oversees vendor and expense distribution data in the accounts payable system.
  5. Tracks capital expenditures and inputs expenditures into accounting software according to the YMCA's capitalization policy.
  6. Reconciles revolving lines of credit on a monthly basis.
  7. Processes and reconciles petty cash, as needed.
  8. Coordinates accounts payable check runs upon approval.
  9. Processes bi-weekly employee payroll.
  10. Files appropriate documentation and maintains accounts payable files.
  11. Voids checks and credits appropriate accounts as needed
  12. Responds to challenges with possible solutions in a timely manner (e.g., works with vendors and staff to resolve invoice discrepancies).
  13. Reviews vendor statements for past due invoices and work with vendors to keep accounts current.
  14. Records cleared accounts payable checks in the accounting system.
  15. Assists with balancing account payables general ledger at month end.
  16. Manages the annual independent audit and works closely with the auditors to ensure necessary documentation is delivered in a timely manner. Serves as the liaison between auditors and CFO.
  17. Preparation of financial statements and the IRS 990 tax form.
  18. Enters journal entries and reviews edit reports.
  19. Maintains W-9 information for all vendors and prepares annual 1099 forms for IRS.
  20. Maintains responsive and cooperative relationships with vendors and branches regarding accounts payable/journal entry matters.
  21. Serves as a liaison between the YMCA's bank and CFO.
  22. Other duties as assigned.


NECESSARY SKILLS AND QUALIFICATIONS:

·         Bachelor’s Degree in Accounting, Finance, or related degree.

·         Three or more years of related experience in accounting.

·         Knowledge of, and expertise with, computerized accounting systems and standard business software.

·         Strong customer service and relationship building skills.

·         Strong analytical skills with acute and precise attention to detail.

·         YMCA Team Leader certification preferred.

·         Knowledge of non-profit accounting preferred.

·         Knowledge of GAAP preferred.

·         Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust.

·         The noise level in the work environment is usually moderate.
